Service Administrator – Glasgow Branch

HF Electrical Ltd are currently looking to recruit a Service Administrator based in our Glasgow Branch.

Hours of work Mon-Thurs 07:30-16:30, Friday 07:30-16:00 (there may be a requirement for some overtime)

Job Description:
To act as the first point of contact for incoming calls from clients/general public & employees. You will also be required to perform general administrative duties and provide support to Senior Staff and Management.

Main Responsibilities include:

• Answering and logging incoming calls and direct call to their destination without delay.
• Taking service calls from clients, loading jobs into CAFM system and allocating work accordingly and in accordance with procedures.
• Calling customers and scheduling appointments for works.
• Updating client websites on a daily basis
• Creating operatives labour list and update Engineers Scheduler accordingly.
• Liaising with sub-contractors, raising purchase orders and following up for job completion details & invoices
• Carrying out WIP report to check outstanding jobs
• Maintaining company plant records and organizing delivery/repair as required.
• Assisting Group Credit Control as required to resolve any queries which may arise
• Saving and filing all incoming purchase orders in accordance with procedures
• Filing data and perform other routine clerical tasks as assigned and for other departments if required
• Operating a variety of standard office machines; computer/telephone/fax machine/photocopier/printers etc.

Full training will be provided
Person Specification:
The post holder should have;
• Previous administration/customer service experience
• Good knowledge of how to operate Databases/Internet/Email/Microsoft word/Microsoft Excel
• Excellent communication skills
• Comprehensive numerical skills
• Excellent time management skills
• Ability to work under own initiative and as part of a team
• Willingness to learn
• Friendly, patient and polite nature.
